KEY RESPONSIBILITIES
Proposal Development
- Ensure timely documentation and management of award proposals.
- Upload proposal-related documents onto the Awards Management System (AMS) and track workflows.
Awards, Partnerships, and AMS Management
- Assist in preparing monthly Award and Partner Review Meetings, record action points, and circulate minutes promptly.
- Support in drafting and preparing partner agreements in compliance with organizational policies.
- Coordinate and schedule award kick-off meetings with relevant teams.
- Assist in developing Budget vs. Actual (BVA) analysis for funding review meetings.
- Maintain and update the income tracker, funding tracker, and close-out backlog tracker with regular follow-ups.
- Assist in managing the Awards Management System (AMS) and ensure it remains up-to-date.
- Populate and update the partner reporting tracker for ongoing projects.
- Organize and distribute meeting invites, take minutes, and circulate summaries of discussions.
- Compile monthly portfolio analysis reports, highlighting the status of active, high-risk, pipeline, and closed awards.
Donor Compliance
- Assist in ensuring compliance with donor regulations regarding reporting deadlines, amendment procedures, and award management policies.
- Support the tracking of donor requirements and coordinate with teams to meet obligations on time.
QUALIFICATIONS AND SKILLS
Essential Qualifications:
- Bachelor’s degree in Commerce, Economics, Business Administration, or a related field.
- Strong organizational and coordination skills with the ability to handle multiple tasks effectively.
- High attention to detail and strong analytical skills.
- Proficiency in Microsoft Office, including Excel, Word, and PowerPoint.
- Ability to work with diverse stakeholders in a multicultural environment.
- Strong problem-solving skills and a proactive attitude towards achieving results.
- Excellent written and verbal communication skills in English.
Desirable Qualifications:
- Familiarity with Save the Children’s award management policies, procedures, and systems.
- Prior experience in project management, monitoring & evaluation (M&E), or funding coordination.
