ABOUT MICRO ENTERPRISE SUPPORT PROGRAMME TRUST (MESPT)

The Procurement Intern will join a cross-functional team that ensures compliance with organizational procurement standards, donor guidelines, and national regulations, contributing directly to MESPT’s mission of delivering sustainable development outcomes.

JOB PURPOSE

The Procurement Intern will support the Finance & Administration Department by offering technical assistance to the procurement team in handling tendering processes, vendor management, procurement documentation, and reporting.

The role will require daily interaction with internal departments and external suppliers to ensure that procurement processes run efficiently, on time, and in compliance with internal and statutory procurement regulations.

This is a practical, hands-on opportunity designed to expose the intern to procurement workflow, from requisition to contracting, under the guidance of an experienced Procurement Officer.

KEY RESPONSIBILITIES

During the internship period, the successful candidate will be assigned responsibilities critical to the procurement lifecycle, including but not limited to:

  • Processing daily procurement requisitions in accordance with MESPT’s internal procurement plan and budget allocations.

  • Maintaining and updating the vendor register, ensuring all suppliers meet compliance, registration, and evaluation requirements.

  • Assisting in the preparation and publication of procurement notices, including bidding documents for tenders and RFQs.

  • Managing the receipt and safe handling of supplier bids and proposals, ensuring that all submissions are time-stamped and securely stored.

  • Coordinating technical and financial bid evaluations, supporting the procurement team in organizing and recording panel deliberations.

  • Preparing bid analysis and evaluation reports, presenting supplier scoring based on compliance and value-for-money criteria.

  • Assisting in the drafting and issuance of Local Purchase Orders (LPOs), contracts, and framework agreements in line with MESPT procurement thresholds.

  • Communicating procurement outcomes to all candidates—both successful and unsuccessful bidders—promptly and professionally.

  • Supporting the preparation of monthly and quarterly procurement reports, as required by the Procurement Officer and for audit purposes.

  • Assisting in routine documentation filing, including archiving procurement documents for reference and compliance audits.

  • Performing other administrative tasks and duties as may be assigned by the Supervisor.

  • Auditors and procurement consultants (where applicable)

KNOWLEDGE, EXPERIENCE, AND TECHNICAL SKILLS REQUIRED

To qualify for this procurement internship in Nairobi, applicants must demonstrate a solid foundation in procurement theory with the ambition to gain practical workplace experience.

Minimum Qualifications:

  • A Diploma or Bachelor’s Degree in Procurement, Purchasing, Logistics, Supply Chain Management, or a related discipline from a recognized institution.

Required Skills and Experience:

  • At least one year of internship experience, preferably in procurement, logistics, or administration.

  • Strong working knowledge of Microsoft Office tools including Excel, Word, PowerPoint, and document-sharing platforms such as SharePoint and OneDrive.

  • Familiarity with Ms Dynamics Navision or any other ERP procurement systems is an added advantage.

  • Previous experience working on logistics, procurement, or supply chain projects (academic or professional) will be a plus.

  • Effective oral and written communication skills, including the ability to draft memos and correspondences.

  • Strong organizational skills, with the ability to multi-task, manage files, and work independently under minimal supervision.

  • Monthly Stipend: As per MESPT Human Resources Policy

  • Additional Benefits: Airtime allowance and 1.75 leave days per month accrued

  • Working Hours: Monday to Friday, 8:00 AM to 5:00 PM (subject to organizational guidelines)

  • Expected Travel: Minimal, only as approved by the Supervisor

  • Supervision: Daily reporting to the Procurement Officer with regular mentorship sessions
