Key Responsibilities
As a Finance and Support Services Officer, you will support the Finance and Support Services Manager (FSSM) in overseeing financial and administrative functions. Your responsibilities include, but are not limited to:
Financial Management
- Maintaining and updating the cash book on a regular basis to ensure accurate records.
- Monitoring and generating cashflow projections to aid decision-making by the FSSM.
- Capturing transactions in the Sun System and submitting support documentation for review and posting.
- Reviewing transactions in the accounting system to ensure they are accurately coded, correctly captured, and well-documented.
- Processing payments promptly upon receipt of invoices or payment requests.
- Preparing the month-end financial checklist report by the 5th working day for FSSM review.
- Managing statutory payments, including PAYE, NITA, HELB, NSSF, and SHA by the 9th, and WHT by the 20th of each month.
- Processing payees’ transactions via the S2B platform efficiently.
Procurement and Supplies Management
- Managing supplies and purchases in adherence to procurement policies and procedures.
- Identifying procurement needs in collaboration with the Project Manager.
- Coordinating with the program team to support budget preparation and proposal development.
Program and Administrative Support
- Assisting the program team by preparing project reports for informed decision-making.
- Ensuring that administrative duties are performed efficiently to support the organization’s goals.
- Upholding compliance with local regulations and governance requirements.
Qualifications and Skills
To excel as a Finance and Support Services Officer, you must meet the following qualifications:
Required Qualifications
- A bachelor’s degree in Finance/Accounting or a related field.
- Relevant professional accounting qualifications (e.g., CPA, ACCA).
- Strong proficiency in financial management and data analysis.
- Proven experience working with accounting systems, especially Sun System and S2B platforms.
Preferred Skills and Experience
- Procurement experience in compliance with organizational policies.
- Prior experience in an INGO environment or familiarity with audit and government organizations.
- Demonstrated ability to support program teams and partners in budget preparation and proposals.
- Exceptional organizational, analytical, and problem-solving skills.
