KEY RESPONSIBILITIES

As a Procurement Officer in the Roses Division, you will work closely with multiple departments including production, logistics, data, and stores to support procurement activities. Your day-to-day responsibilities will include the following:

• Coordinate Weekly Packaging Requisitions: Liaise with farm teams to consolidate weekly packaging stock needs across all rose-producing farms.

• Review and Vet Orders: Validate packaging requests, identify stock gaps, and summarize purchase requirements for approval and ordering.

• Inventory Monitoring: Track the movement of packaging materials between farms, ensuring optimal stock levels are maintained without overstocking.

• Waste Reduction: Identify and manage obsolete or slow-moving inventory, implementing best practices to minimize waste and enhance stock turnover.

• LPO and Documentation Management: Generate and follow up on Local Purchase Orders (LPOs), Goods Received Notes (GRNs), and Delivery Notes. Ensure all documentation is properly filled, filed, and updated in the procurement system.

• Stock Movement Control: Oversee packaging dispatches to and from farms, maintaining up-to-date dispatch records in collaboration with the data team.

• Support Data and Store Functions: Work closely with stores and data clerks to monitor accuracy in documentation, support stock counts, and assist in performance reviews.

• Cross-Functional Collaboration: Liaise with finance, production, and logistics departments to ensure packaging timelines align with harvesting and shipping schedules.

• Ensure Procurement SOP Compliance: Adhere to AAA-Growers’ internal Standard Operating Procedures (SOPs), procurement timelines, and ethical sourcing policies.

QUALIFICATIONS AND SKILLS

The successful candidate will demonstrate solid academic credentials, hands-on procurement experience, and a proactive mindset. The qualifications and competencies required for this role include:

Academic Requirements

• Diploma or Degree in Procurement, Supply Chain Management, Business Administration, or a related field from a recognized institution.

Experience

• Minimum of 2 years’ hands-on experience in a procurement role, preferably in the horticulture or floriculture industry.

• Proven track record of working with multiple suppliers and coordinating stock across geographically dispersed sites.

Technical Skills

• Proficiency in inventory management systems, procurement tracking software, and ERP tools.

• Strong working knowledge of Microsoft Office, including Excel, Outlook, and Word.

• Familiarity with LPO generation, GRNs, and logistics documentation is essential.

Analytical and Interpersonal Skills

• Strong analytical thinking, with the ability to interpret trends in usage and stock movement.

• Excellent coordination and communication skills for working across departments and with external vendors.

• Ability to work under pressure, manage competing deadlines, and maintain a calm, problem-solving approach.

• High levels of integrity, accountability, and attention to detail, especially when dealing with sensitive procurement data.
