Job Overview

A leading grassroots organization is seeking a highly motivated and detail-oriented Administrative Assistant to provide administrative support for project management and operational activities. This role will involve handling office management duties, data entry, expense reporting, meeting coordination, procurement, and overall administrative functions. This position is based in Nairobi, following a Monday to Friday, 8:00 AM – 5:00 PM work schedule.

Key Responsibilities

  • Provide administrative support to management, project teams, clients, and visitors.
  • Manage office duties such as handling phone calls, filing, drafting letters, and recording meeting minutes.
  • Coordinate calendars and schedule meetings via email, phone, and in-person arrangements.
  • Develop and manage spreadsheets, databases, and track key deadlines.
  • Support IIVC forums in various regions through requests placement and timely follow-ups on payments.
  • Process accounting and placement requests in SAP, including budget approvals for events, venue payments, staff stipends, and welfare expenses.
  • Arrange travel logistics for managers and project teams, including flights, accommodations, and car rentals.
  • Inspect and verify received supplies against purchase orders to ensure accuracy.
  • Follow up on office requisitions, ensuring all necessary documentation (contracts, ID copies, KRA pins) is available.
  • Maintain office supplies and equipment such as stationery, furniture, and IT tools.
  • Support event planning and execution for both small and large-scale organizational projects.
  • Ensure timely payments for utilities (rent, electricity, water, etc.).
  • Perform additional duties as assigned by the supervisor.

Qualifications and Skills

Education & Experience:

  • Degree or Diploma in Administration, Management, or a related field.
  • Minimum of 2 years of experience in an administrative role.
  • A business-related certification or relevant professional qualification is a plus.

Required Skills:

  • Strong problem-solving and organizational skills.
  • Excellent time management with the ability to prioritize multiple tasks.
  • High attention to detail and accuracy in handling administrative tasks.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management tools.
  • Familiarity with office equipment such as photocopiers, printers, and scanners.
  • Ability to work under minimal supervision while managing multiple responsibilities.
  • Strong interpersonal and communication skills.
  • Knowledge of SAP and other ERP systems is an added advantage.
