Key Responsibilities
Administrative Duties
- Meeting Room Management: Oversee the meeting room booking calendar, resolve conflicts, and ensure optimal use by sensitizing staff on best practices.
- Office Space Allocation: Manage allocations for long-term staff and short-term advisors, including access tags, parking tags, and business card printing.
- Inventory Oversight: Handle inventory management and documentation while ensuring the availability of office supplies and the maintenance of equipment.
- Event Planning Support: Coordinate office meetings by managing venue arrangements and preparing relevant documents.
- Calendar Management: Maintain and update the project events calendar regularly for all staff.
- Contact Database Management: Ensure all project contact profiles and information are up to date.
- Vendor Communication: Liaise with procurement, logistics, and DAI’s home office staff on administrative matters.
- Supervise Office Stewards: Collaborate with the Operations Director and outsourced vendors to oversee office stewards.
- Payment Processing: Handle payments related to office management, including petty cash, electricity, and parking.
- Vendor Relations: Manage administrative vendor relationships effectively.
- Visitor Assistance: Assist visiting staff and guests with scheduling and administrative needs.
- Office Security: Work with security personnel to ensure the safety of office premises and property.
- Facilities Management: Communicate with the landlord, building manager, and maintenance personnel to address repair and improvement needs.
- IT Coordination: Partner with IT staff to maintain efficient operation of the local area network.
- Other Duties: Perform additional tasks as assigned to support administrative excellence.
Human Resource Duties
- Recruitment Support: Assist in advertising, shortlisting, reference checks, interview planning, academic verification, and personnel filing on SharePoint and TAMIS.
- Performance Management: Provide backup support for tracking probationary and annual performance reviews.
- Orientation Coordination: Plan and execute comprehensive new employee orientation sessions.
- Leave Monitoring: Ensure leave applications are tracked and uploaded on TAMIS.
- Timesheet Collection: Oversee the timely collection of timesheets in line with project deadlines.
- Other Duties: Handle additional HR-related tasks as needed.
Qualifications and Skills
- Education: Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Experience: At least 6 years of proven experience in administrative and HR support roles.
- Skills:
- Excellent communication and interpersonal skills.
- Proficiency in office and personnel management.
- Familiarity with USAID policies and regulations (preferred).
- Strong ethical standards and the ability to handle sensitive, confidential matters.
- Advanced English writing, speaking, and reading skills.
- Previous experience with DAI systems (e.g., TAMIS) is an added advantage.
- Competencies:
- Ability to interpret and apply laws, regulations, and organizational policies.
- High attention to detail and organizational skills.
