The Supply Assistant – Exports position at Vivo Energy Kenya is ideal for a professional passionate about logistics, finance, and supply chain operations. This role involves managing the logistics of Lubricant and Fuel exports for Vivo Energy Uganda and Rwanda, ensuring timely product availability, efficient financial transactions, and seamless supply processes. KEY RESPONSIBILITIES

1. Supply Logistics Coordination

• Oversee and manage supply logistics for Vivo Energy Uganda’s private imports (HFO, VP & AVGAS).
• Coordinate the transit aspects of Clearing & Forwarding contracts to facilitate smooth operations.
• Account for all product transfers, including loadings and deliveries at VEK depots or customer locations.
• Liaise with Vivo Energy Kenya to manage imports and resolve supply, quality, or payment issues.
• Handle SAP transactions across VEK and SVLK systems to ensure proper General Ledger management.

2. Accounts Receivable & Intercompany Transactions

• Manage Vivo Energy Uganda/Rwanda (VEU/VER) accounts receivable transactions in the Kenya environment.
• Ensure timely collection of payments from VEU/VER to both VEK and external suppliers.
• Prepare and submit intercompany accounts reports monthly, reconciling any outstanding balances.

3. Product Pricing, Reconciliations & Bond Management

• Support stock control and third-party stock reconciliation.
• Prepare transfer price build-ups and forward them to the commercial department.
• Assist in compiling monthly industry price build-ups, ensuring accuracy.
• Track direct customer losses and ensure appropriate invoicing.
• Manage transit intercompany stocks, overseas customer deals, and re-export accounts.
• Assist with bond management and customs operations at the border.

4. Stocks Tracking and Payments Management

• Perform daily stock tracking, identifying inconsistencies and addressing reconciliation gaps.
• Manage external customer accounts and invoicing to ensure prompt payment collection.

5. Nemo Additive & LFD Test Kit Oversight

• Forecast and coordinate Nemo additive imports to ensure timely replenishment.
• Monitor stock levels across depots including Mombasa, Nairobi, and Western Kenya.
• Procure and distribute LFD test kits, avoiding stockouts.

6. Demurrage Oversight

• Calculate demurrage estimates weekly and participate in industry demurrage meetings.
• Process and settle demurrage invoices in a timely manner.
• Share validated demurrage reports with stakeholders to maintain transparency.

7. Payment Scheduling and Dispute Resolution

• Circulate daily payment schedules to finance, ensuring prompt action.
• Address and resolve disputes related to demurrage or supplier charges.

QUALIFICATIONS AND SKILLS

• A Bachelor’s degree in Business Administration, BCom Accounting, Finance, or a related discipline.
• A minimum of 2 years’ experience in the oil industry supply chain field.
• Hands-on knowledge of SAP and IT systems for supply chain and finance.
• Strong analytical skills and attention to detail.
• Effective communication and interpersonal skills.
• High levels of integrity, accountability, and the ability to work with minimal supervision.
• Proven ability to work within cross-functional teams and under pressure.
