KEY RESPONSIBILITIES
Logistics Management
- Plan and coordinate the transportation, warehousing, and distribution of goods across field sites.
- Ensure timely and cost-effective logistics planning for all programs, events, and personnel deployment.
- Maintain optimal fleet operations, including scheduling, fuel usage monitoring, repairs, and compliance with road safety regulations.
- Develop and implement logistics policies and standard operating procedures (SOPs).
- Liaise with vendors, suppliers, and transport contractors to ensure quality delivery and performance.
Asset Management
- Maintain and update the Asset Register with all acquisitions, transfers, disposals, and repairs.
- Conduct quarterly and annual audits of assets across all organizational locations.
- Ensure all assets are tagged, recorded, and reconciled with procurement and finance records.
- Monitor the condition, utilization, and location of assets and provide monthly status reports.
- Ensure timely disposal of obsolete or damaged assets as per organizational policy.
Inventory and Supply Chain Coordination
- Oversee the receipt, inspection, and storage of supplies and equipment.
- Supervise the stock control system to ensure inventory accuracy and timely reorder levels.
- Coordinate procurement logistics for locally and internationally sourced items.
- Generate inventory reconciliation reports and ensure accountability of stored items.
- Ensure proper documentation for all inbound and outbound inventory.
Compliance, Reporting, and Coordination
- Maintain compliance with donor and government regulations on asset and logistics management.
- Prepare and submit monthly, quarterly, and annual reports on logistics and asset performance.
- Participate in coordination meetings with the Procurement and Finance departments.
- Support external audits and ensure timely response to audit queries related to logistics and asset management.
- Train staff on inventory procedures and asset usage responsibilities.
QUALIFICATIONS AND EXPERIENCE
- Diploma or Degree in Procurement, Logistics, Supply Chain Management, or Business Administration from a recognized institution.
- Minimum of five (5) years experience in logistics and asset management, preferably in a donor-funded organization or large-scale enterprise.
- Knowledge of inventory software and asset tracking systems (e.g. Navision, ERP, QuickBooks, or similar).
- Familiarity with fleet management, warehousing, and procurement workflows.
- High level of numerical accuracy, organizational skills, and attention to detail.
- Strong interpersonal and communication skills.
- Ability to multitask, work under pressure, and meet tight deadlines.
- High integrity, honesty, and ethical standards.
