Introduction

Mugie House, part of the esteemed Wilderness brand, is seeking a Receptionist to join its team in the heart of Laikipia, Kenya. As a key player in the hospitality industry, this role offers a unique opportunity to provide exceptional guest service while immersing yourself in a conservation-focused work environment. This is an onsite position designed for individuals who excel in creating memorable guest experiences and seamlessly coordinating operational tasks.

Primary Purpose

The primary purpose of the Receptionist role is to deliver exceptional guest service by managing front desk operations efficiently. This includes handling guest inquiries, ensuring smooth interdepartmental communication, maintaining accurate records, and creating a welcoming environment that enhances the overall guest experience. The role is instrumental in supporting operational efficiency and maintaining the highest standards of excellence at the lodge.


Key Responsibilities

Guest Management

  • Manage guest information, registrations, and room assignments with accuracy and professionalism.
  • Handle guest inquiries, providing clear and prompt responses to ensure satisfaction.
  • Offer a warm and personalized welcome to guests, conduct briefings, and address their needs throughout their stay.

Communication and Coordination

  • Manage emails, phone calls, and radio communication efficiently.
  • Collaborate with housekeeping and other departments to ensure rooms and public areas are clean, stocked, and ready for guests.

Shop Operations

  • Oversee the lodge shop, including inventory updates and processing sales.
  • Maintain accurate records of shop transactions.

Billing and Administrative Duties

  • Process guest bills and receipts accurately and manage departure procedures smoothly.
  • Update daily files, including occupancy, income, and staff records, ensuring data accuracy.

Stock and Reporting

  • Assist with monthly stock checks and prepare necessary reports.
  • Monitor supplies and communicate restocking needs effectively.

Staff Supervision and Training

  • Train and monitor staff assisting at the reception to ensure seamless operations.

Candidate Profile

Qualifications

  • Certificate or Diploma in Hospitality Management, Front Office Operations, or a related field.
  • Proficiency in Microsoft Office and hospitality management software.
  • Training or certification in customer service is an added advantage.

Experience

  • Prior experience in front desk operations or guest relations is preferred.

Skills

  • Strong organizational skills and attention to detail.
  • Proficiency in computer applications, including file and data management.
  • Excellent interpersonal skills with a professional demeanor.
  • Fluency in English; additional language skills are a plus.
