Key Responsibilities
Administrative Oversight
- Supervise Operations Assistants, drivers, cleaners, and cooks, ensuring efficient task allocation.
Finance Management
- Lead the preparation, revision, and management of field office budgets.
- Coordinate monthly budget reviews with the Kakuma Desk Officer to align with program goals.
- Ensure donor financial reports comply with funding requirements.
- Oversee petty cash systems, maintaining integrity and ensuring timely submission of vouchers.
- Prepare and submit monthly cash projections based on work plans.
- Ensure compliance with all financial policies and procedures.
Human Resources Support
- Oversee the recruitment process, including job postings, interviews, and reference checks.
- Administer staff leave schedules and maintain HR records, including performance reviews and disciplinary actions.
- Facilitate staff onboarding and provide training on financial and HR processes.
- Process monthly incentive staff salaries and time sheets.
Procurement and Logistics
- Oversee the development and execution of procurement plans.
- Ensure proper record-keeping of all procurement activities and support the maintenance of organizational assets.
General Duties
- Provide monthly status reports to the Field Manager.
- Represent FilmAid in community interactions and with partner organizations.
- Maintain confidentiality of all organizational information.
Qualifications and Requirements
Education
- Degree in Business Administration, Accounting, Commerce, or Logistics/Supply Chain Management.
- Professional certification in CPA (K) or ACCA.
Experience
- Minimum of 3 years’ experience in finance, administration, and HR coordination, preferably in humanitarian contexts.
- Proven experience in budget management, including drafting, revisions, and reporting.
- Experience with QuickBooks Online and other financial software.
Skills and Competencies
- Strong financial reporting and budgeting abilities.
- Excellent problem-solving and decision-making skills.
- Competence in office management and asset oversight.
- High attention to detail and ability to handle confidential information.
