KEY RESPONSIBILITIES
The HR Officer will be responsible for implementing human resource policies, managing the employee lifecycle, and ensuring legal compliance in all HR matters. Duties include:
1. Recruitment and Onboarding
- Prepare job descriptions and advertise vacancies on internal and external platforms
- Organize and participate in candidate screening, interviews, and onboarding sessions
- Maintain updated job applicant databases and recruitment reports
- Ensure proper orientation and induction of new hires
2. HR Administration & Compliance
- Maintain employee records including contracts, personal files, and disciplinary records
- Draft HR letters and ensure timely contract renewals and terminations
- Ensure compliance with Labour Laws, Employment Act, and NSSF/NHIF/KRA guidelines
- Prepare statutory reports and handle HR audits when required
3. Payroll & Benefits Coordination
- Collate employee timesheets, leave forms, and salary adjustments for payroll processing
- Coordinate medical insurance registration and claims follow-up
- Track employee leave balances, probation periods, and benefit entitlement
4. Performance Management
- Implement and maintain the company’s performance appraisal system
- Track KPIs and performance feedback sessions
- Assist department heads in setting targets and performance improvement plans
5. Employee Relations & Welfare
- Serve as the first point of contact for HR queries and concerns
- Mediate minor grievances and support fair disciplinary processes
- Organize team-building activities and staff welfare initiatives
- Promote a healthy workplace culture aligned to Systech’s values
6. Learning and Development Support
- Identify training needs through consultation with managers and staff
- Organize in-house or external training workshops
- Keep records of employee skills development and certifications
QUALIFICATIONS AND SKILLS
To succeed in this role, the ideal candidate should meet the following minimum qualifications and demonstrate the listed competencies:
Minimum Qualifications:
- Degree or Diploma in Human Resource Management, Business Administration, or related field
- Minimum of 1 year experience in a busy HR department
- Membership with IHRM Kenya is an added advantage
- Understanding of the Kenya Employment Act and labor regulations
Technical & Soft Skills:
- Knowledge of HRIS (Human Resource Information Systems) or digital HR tools
- Proficiency in MS Office Suite (Word, Excel, Outlook)
- Strong interpersonal and communication skills
- Ability to handle confidential matters professionally
- Excellent time management and multi-tasking skills
- Initiative and solution-oriented thinking
