Position Summary

The HR Assistant plays a critical role in supporting the HR & Administration functions at RefuSHE. This role involves managing recruitment, overseeing staff induction, administering payroll and benefits, maintaining staff records, ensuring compliance, and providing administrative support. The HR Assistant is a key liaison between employees and management, fostering a positive work environment and promoting organizational efficiency.


Key Responsibilities

Recruitment & Onboarding

  • Assist in recruitment processes to attract skilled and competent talent.
  • Oversee and manage the induction program for new staff, coordinating with department heads and program managers.

Payroll & Benefits Management

  • Administer monthly payroll, ensuring accurate and timely salary payments and statutory deductions.
  • Manage staff compensation and benefits, working closely with the Finance Department.

Employee Records & Compliance

  • Maintain confidential staff records, ensuring proper documentation of contracts and renewal dates.
  • Monitor compliance with licenses such as OSHA certificates, fire clearance, and public health approvals.

Performance Management

  • Track staff performance appraisals, objective setting, and leave balances, ensuring adherence to deadlines.

Exit Procedures

  • Facilitate offboarding processes, including final dues calculations and compliance with labor laws.

Administrative Duties

  • Oversee reception work, ensuring an engaging and professional office environment.
  • Ensure timely utility bill payments and maintain accurate records of lease agreements.
  • Supervise the administrative support team, ensuring hygiene, cleanliness, and adequate office supplies.

Resource Management

  • Create and maintain effective internal controls for equipment inventory.
  • Monitor asset insurance and renewal notices.

Visitor and Event Management

  • Manage the visitor flow, ensuring security protocols are followed.
  • Oversee meeting room readiness for scheduled events and activities.

Additional Responsibilities

  • Coordinate with the Operations Officer for efficient use of resources.
  • Oversee the catering schedule to ensure meals are served on time.

Qualifications & Skills

Educational Requirements

  • Bachelor’s Degree in HR or a related field OR Diploma in HR with CHRP I.
  • IHRM Membership is mandatory.

Experience

  • 0-2 years of professional experience in HR & Administration.
  • Experience in a nonprofit setting is preferred.

Technical & Behavioral Skills

  • Proficient in using HRIS systems (e.g., Dynamics BC) for personnel record management.
  • Skilled in managing the recruitment process end-to-end, including job postings, screening, and interviewing.
  • Strong knowledge of Kenyan labor laws and compliance requirements.
  • Excellent organizational skills with a focus on confidentiality.
  • Ability to suggest and implement improvements in HR policies and procedures.
  • Proficient in MS Office Suite and excellent interpersonal skills.
  • High integrity, problem-solving abilities, and a results-oriented mindset.
