Position Summary
The Finance and Operations Coordinator will spearhead financial management, operational efficiency, and compliance processes at RefuSHE. This critical role encompasses responsibilities such as budget implementation, financial reporting, audit management, and systems enhancement to drive organizational success and sustainability.
Key Responsibilities
1. Financial and Fixed Assets Management
- Develop and manage budgets, forecasting, and resource allocation aligned with organizational goals.
- Collaborate with the Finance and Program teams to prepare and submit monthly cash requests for approval.
- Ensure timely and accurate submission of donor reports.
- Oversee financial reporting, accounting, and audit processes, ensuring compliance with internal and donor requirements.
- Manage external audit processes, liaising with auditors and implementing recommendations promptly.
- Maintain accurate records of fixed assets and oversee effective inventory control systems.
2. Grants and Budget Management
- Oversee the creation and management of grant budgets across departments.
- Monitor and report on grant performance while ensuring compliance with donor and organizational policies.
- Prepare the organization’s annual budget and conduct regular budget reviews for adjustments.
- Provide detailed financial analysis to support strategic decisions.
3. Bank Account Authority
- Maintain signature authority for RefuSHE bank accounts.
- Approve financial transactions with proper documentation and compliance standards.
- Ensure adherence to established financial policies and procedures for banking operations.
4. Operational Management
- Develop and implement operational policies for enhanced organizational efficiency.
- Optimize systems, processes, and supply chain management, ensuring best practices.
- Act as the primary contact for vendor contracts, securing optimal pricing and maintaining relationships.
- Oversee the safety and security of all RefuSHE premises, ensuring compliance with Standard Operating Procedures (SOPs).
5. Day-to-Day Management
- Lead the daily operations of the Finance and Operations teams, ensuring compliance with legal and policy standards.
- Enforce organizational health and safety guidelines.
6. ERP System Management
- Serve as the super-user for Finance and Operations on the ERP system, ensuring seamless functionality.
7. Staff Recruitment and Development
- Collaborate with HR and the Country Manager to develop job descriptions for finance department roles.
- Support recruitment efforts and provide training to enhance team capacity.
8. Internal and External Relationships
- Foster strong working relationships with donors, partners, and internal stakeholders.
Qualifications and Skills
Education
- Bachelor’s degree in Finance, Accounting, Business, or a related field.
- Holder of CPA-K, ACCA, or CIPS certification.
- Active membership in good standing with ICPAK.
Experience
- A minimum of 5 years of professional experience in finance and operations, including at least 2 years in a supervisory role.
- Preferred experience in the nonprofit sector.
Technical and Behavioral Skills
- Proficiency in budget preparation, data analysis, and forecasting methods.
- Familiarity with US Generally Accepted Accounting Practices (GAAP) for nonprofits.
- Strong leadership capabilities with a proven ability to motivate and inspire teams.
- Advanced knowledge of MS Office and financial management tools (e.g., ERP).
- Excellent communication, interpersonal, and problem-solving skills.
- High integrity, self-motivation, and a results-oriented approach.
