Introduction

We are seeking a highly skilled Depot Assistant to join our Finance Department, specifically within the Stocks & Credit Control section. This role offers an opportunity to contribute to efficient depot operations and gain valuable experience in inventory management within the dairy industry. The position is based in Kinangop, Kenya, and requires a professional ready to support and deputize the Depot Administrator in all aspects of depot management.

Key Responsibilities

As a Depot Assistant, your primary duties will include:

  • Order Processing: Receive orders from salesmen and distributors within the region, liaise with the Regional Sales Manager (RSM), and coordinate with Credit Control to authorize and release orders after assessing creditworthiness.
  • Inventory Management: Ensure adherence to the First-In-First-Out (FIFO) principle during dispatch unless otherwise directed by Quality Assurance.
  • Sales Reconciliation: Reconcile direct salesmen’s cash and stock accounts daily to prevent account accumulation.
  • Stock Accountability: Maintain accurate physical stock records with zero losses by updating the Syspro system to reflect the correct stock status in the depot.
  • Returns Management: Vet product returns in the depot and recommend disposals to the RSM as necessary.
  • Payment Verification: Confirm payments made by salesmen using printed bank statements, ensuring proper allocation and posting into correct accounts promptly.
  • Invoice Verification: Verify the accuracy of invoices before posting them to relevant accounts.
  • Petty Cash Management: Oversee petty cash payments and balances in the depot, ensuring no financial discrepancies.
  • Contract Verification: Verify all incoming milk supply contract forms before sending them to the head office for system account creation.
  • Reporting: Provide weekly and monthly activity reports to the Depot Administrator.
  • Customer Statements: Prepare and dispatch statements to customers as their credit periods become due.
  • Cheque Collection: Collect cheques from customers and ensure their timely deposit.
  • Direct Sales: Conduct direct cash sales at the depot as required.
  • Administrative Reporting: Prepare reports related to depot administration and cost control.
  • Documentation Verification: Verify yellow copies from key accounts and supermarkets when collected by area representatives or salesmen.
  • Fleet Management: Oversee fueling and maintain mileage records for all trucks within the region.
  • Debt Management: Regularly update the RSM with aging customer debts within the region for payment follow-up purposes.
  • Facility Maintenance: Maintain cleanliness and orderliness in the depot store and offices.
  • Staff Management: Manage all depot staff and supervise route drivers and salesmen.
  • Additional Duties: Perform any other assignments as directed by the Depot Administrator.

Qualifications and Skills

The ideal candidate will possess:

  • Educational Background: A Degree in Business Studies, Commerce, or Accounting.
  • Professional Certification: Completion of CPA Section 4 is mandatory.
  • Experience: A minimum of 2 years of experience in warehouse or inventory management within the manufacturing industry. A strong background in sales accounting and data analysis is advantageous.
  • Technical Proficiency: Computer literacy with strong competence in MS Office Suite, including Excel, Access, and PowerPoint. Experience with accounting packages such as QuickBooks, Sage, Pastel, and ERP systems is essential.
  • Communication Skills: Effective and impactful communication, sales negotiation, problem-solving, and presentation skills.
