INTRODUCTION

If so, this is your opportunity to join an NIH-funded clinical trial and help generate data that can shape evidence-based health interventions across Kenya and beyond.

The Data Assistant role is central to ensuring data quality and compliance across all stages of the smoking and alcohol cessation study. As a vital part of the Strategic Information (SI) function, you will support digital data collection, cleaning, visualization, and reporting. This full-time position, based in Nairobi, is ideal for professionals with a strong background in public health, statistics, or information systems and a passion for accurate, ethical data handling.

Your work will directly support better outcomes for program beneficiaries and contribute to improving the effectiveness of health programs across CIHEB-Kenya projects.

The current five-year smoking and alcohol cessation clinical trial—funded by the National Institutes of Health (NIH)—focuses on enhancing treatment strategies for people living with HIV. It evaluates both behavioral and pharmacological interventions to sustain abstinence and improve health outcomes, making it a landmark study in the region.

KEY RESPONSIBILITIES

As a Data Assistant, you will be responsible for end-to-end data management tasks, supporting the study team in the ethical, timely, and accurate handling of quantitative and qualitative data. Below are the core duties and responsibilities:

  • Data Collection and Entry

    • Assist in real-time field data collection using mobile data tools for quantitative surveys and paper-based forms for qualitative activities.

    • Conduct data entry, verification, and validation into platforms such as REDCap and Excel databases.

  • Data Cleaning and Management

    • Perform comprehensive data cleaning procedures, identifying errors, inconsistencies, and missing values.

    • Maintain and update project dashboards, ensuring completeness and consistency of datasets.

  • Data Visualization and Reporting

    • Generate charts, graphs, and analytical summaries using statistical software and Excel.

    • Prepare weekly, monthly, and ad hoc data reports to guide decision-making.

  • Tool Development and Testing

    • Collaborate with research and IT teams to design, test, and deploy digital data collection tools such as those built in REDCap, ODK, or other mobile survey platforms.

  • Device and Technology Management

    • Ensure that all field data collection devices—including tablets and mobile phones—are charged, functional, and equipped with updated tools before every field visit.

  • Support Field Operations

    • Participate in community visits, focus group discussions, and assessments, assisting in note-taking, data entry, or other study-related activities.

  • Organize Data and Filing Systems

    • Maintain an accurate, transparent filing system (physical and electronic) for all program data, forms, and reports.

    • Archive completed forms and data securely in compliance with the data protection policy.

  • Liaison and Collaboration

    • Work with the County Health Management Teams (CHMTs) and internal CIHEB teams to consolidate and validate reports where needed.

    • Attend Strategic Information (SI) review meetings to provide updates on data progress and support data-driven decision-making.

  • Compliance and Ethics

    • Ensure all data-related activities adhere strictly to the study protocol, ethical guidelines, and Good Clinical Practice (GCP).

    • Maintain participant confidentiality and uphold CIHEB-Kenya’s data protection standards at all times.

  • Additional Duties

    • Support preparation of sector work plans and contribute to the development of operational strategies based on insights derived from data.

    • Undertake other data or program support duties as assigned by the supervisor.

QUALIFICATIONS AND SKILLS

Ideal candidates will demonstrate technical fluency, strong analytical ability, and a commitment to ethical data management in public health. The qualifications and key competencies include:

Educational Requirements

  • Bachelor’s degree in Public Health, Statistics, Information Systems, or a closely related field.

Professional Experience

  • Minimum of 2 years’ experience in data management, monitoring & evaluation (M&E), or public health program support.

  • Prior experience working in a clinical trial or health research project is a significant advantage.

Technical Proficiency

  • Advanced skills in Excel, data visualization, and basic statistical software (e.g., SPSS, STATA, or Epi Info).

  • Hands-on experience with REDCap, ODK, or similar mobile data collection platforms.

  • Familiarity with cloud-based data storage and version control tools is a plus.
