Job Purpose

The Procurement Intern will play a crucial role in supporting the Procurement Function within the Finance and Operations Department. Reporting to the Senior Procurement Officer, this role involves assisting with various procurement tasks to enhance efficiency and ensure adherence to organizational and donor compliance policies.


Key Responsibilities

  • Drafting Procurement Documents: Assist in preparing bidding documents, evaluation reports, and contract award submissions while ensuring accuracy and consistency.
  • Processing Transactions: Support the processing of procurement-related payments.
  • Purchase/Service Orders: Help prepare Local Purchase Orders (LPOs) and Service Orders (LSOs) with all necessary documentation for approval.
  • Supplier Payment Tracker Maintenance: Regularly update and monitor the supplier payment tracker, ensuring prompt follow-ups for due payments.
  • Document Management: Organize and file both soft and hard copies of procurement records, including quotations, contracts, and meeting minutes.
  • Procurement Tracker Updates: Maintain and update procurement activity status reports to support operational transparency.
  • Procurement Meetings: Actively participate in procurement and departmental meetings, including taking minutes as needed.
  • Quality Assurance: Work closely with procurement officers to ensure goods and services meet the right quality, quantity, price, delivery, and timing standards.

Key Performance Indicators

  • Timely updates to the procurement tracker.
  • Accurate preparation of bidding documents, evaluation reports, and supplier payment tracker submissions.
  • Compliance with HFH Kenya’s procurement policy and donor guidelines.

Qualifications

  • Degree in Procurement and Logistics or a Higher Diploma in Procurement with membership to KISM (Kenya Institute of Supplies Management).
  • Familiarity with procurement and logistics procedures, particularly in INGOs.

Knowledge, Skills, and Abilities

  • Interpersonal Skills: Strong ability to communicate and collaborate effectively.
  • Analytical Thinking: Keen attention to detail and strong organizational skills.
  • Fluency in English: Excellent written and verbal communication skills.
  • Teamwork: Demonstrated ability to work in a collaborative environment.
  • Technical Expertise: Basic knowledge of procurement compliance and logistics procedures.

Experience

  • 0-2 years of experience in logistics or procurement, particularly within INGOs.
  • Previous roles as a Procurement Clerk, Assistant, or Intern are advantageous.

  • Upholding the Christian principles of HFH Kenya.
  • Willingness to work long hours, including weekends, when necessary.
  • Strong commitment to maintaining confidentiality, integrity, and safeguarding standards.
