Job Summary
As a Grants and Budget Specialist, you will play a key role in budgeting, financial reporting, and managing grants within an international NGO context. The ideal candidate will be a seasoned professional with strong expertise in finance systems, donor compliance, and organizational alignment.
This position is ideal for someone who is strategic, detail-oriented, and passionate about advancing health equity through sound financial practices.
Key Responsibilities
1. Planning and Budgeting
- Support the development of strategic plans, annual work plans, and budgeting processes.
- Ensure donor budgets are complete and aligned with organizational policies and regulations.
- Coordinate proposal preparation with program managers and sub-grantees to align with funding strategies.
- Assist in drafting outgoing contracts and ensuring compliance with contractual terms.
- Participate in project inception meetings, communicating financial donor requirements to stakeholders.
- Highlight financial matters during project review meetings and provide actionable advice.
2. Reporting
- Lead financial accountability and reporting to donors in compliance with internal and donor policies.
- Coordinate financial information with project managers and the accounting team for proper monitoring.
- Prepare monthly consolidated budget vs actual reports for the CFO and senior management.
- Ensure timely submission of financial reports to donors and project managers.
3. Partner Management
- Conduct capacity assessments for implementing partners (IPs).
- Provide technical support to IPs and prepare budgets collaboratively.
- Monitor partner budgets and ensure effective implementation.
- Maintain liquidity schedules for partner organizations to ensure timely financial transfers.
- Review partner reports to ensure donor compliance and timely submissions.
4. Compliance
- Monitor compliance with internal controls and donor requirements.
- Ensure adherence to donor-specific regulations and timely reconciliation of donor-funded projects.
- Prepare accurate and consistent donor reports to ensure uninterrupted implementation.
Qualifications and Skills
Required Education and Experience
- Degree in Commerce, Accounting, Business Administration, or a related field.
- Full accounting qualification (ACCA or equivalent).
- At least 6 years of experience in financial/accounting roles within international organizations or NGOs.
- Proven skills in developing finance systems in an international NGO context.
- Strong knowledge of fund accounting and donor reporting requirements.
- Proficiency in Microsoft Dynamics Business Central is a distinct advantage.
