KEY RESPONSIBILITIES
- Answer and direct incoming calls promptly and professionally.
- Provide accurate information, take messages, and transfer calls to appropriate individuals.
- Maintain call logs and ensure accurate record-keeping of all communication.
- Assist with administrative tasks as needed to support the hospital’s daily operations.
- Ensure a positive caller experience by handling inquiries efficiently and courteously.
- Collaborate with hospital departments to streamline internal communication.
- Troubleshoot minor technical issues related to the telephone system.
- Adhere to hospital policies and confidentiality guidelines in all communications.
- Monitor call volumes and provide feedback on possible improvements for efficiency.
- Offer telephone support for emergency situations by directing callers to appropriate response teams.
- Train new staff on telephone etiquette, system usage, and call handling best practices.
- Maintain a professional and friendly attitude while managing high call volumes.
- Work closely with the hospital’s front desk and patient services team to ensure smooth information flow.
- Coordinate with IT to resolve any telephone system malfunctions.
- Report any unusual call patterns or potential security threats to the appropriate departments.
QUALIFICATIONS AND SKILLS
- Education: Diploma certificate or equivalent.
- Experience: Minimum of 3 years in a Telephone Operator or similar role.
- Technical Skills: Proficiency in Microsoft Office Suite and telephone systems.
- Interpersonal Skills: Strong customer service orientation with excellent communication abilities.
- Multitasking Ability: Capacity to manage multiple calls while prioritizing urgent tasks.
- Problem-Solving: Ability to handle caller inquiries effectively and direct them to the correct department.
- Professionalism: A friendly yet professional approach to customer interactions.
- Attention to Detail: Ability to maintain accurate and organized call records.
- Flexibility: Willingness to work in shifts, including weekends and holidays if necessary.
- Crisis Management Skills: Ability to remain calm and professional when dealing with emergency calls.
- Adaptability: Comfortable with changing hospital policies, procedures, and communication protocols.
- Confidentiality: Understanding of the importance of maintaining patient and hospital confidentiality.
