KEY RESPONSIBILITIES

As the Planning Officer, you will be at the heart of Kericho Gold’s supply chain, ensuring that raw and packaging materials are procured on time and in full, helping to avoid costly production delays and stock-outs. Your daily activities will involve interfacing with vendors, internal teams, ERP systems, and production stakeholders.

Key responsibilities include:

Closely monitor ROLs (Re-Order Levels) for raw and packaging materials to proactively prevent stock-outs and overstocking.
Follow up stringently on ALL incoming materials, including those sourced locally and through imports, ensuring lead time adherence.
Collaborate daily with planning and production departments to forecast procurement needs based on weekly and monthly production plans.
Maintain an updated supplier database and ensure all procurement activities adhere to approved contracts, SLAs, and price agreements.
Review and process weekly material planning requisitions, ensuring alignment with production targets, demand cycles, and market trends.
Liaise cross-functionally with internal departments and third-party vendors to ensure supply chain synchronization and project success.
Prepare and submit weekly and monthly reports, dashboards, and performance summaries to senior management on procurement KPIs.
Ensure all planning activities comply with data protection protocols, ERP system integrity, and internal auditing standards.
Provide professional input and guidance to leadership on matters of materials planning, risk mitigation, and inventory control.
Ensure systematic filing and documentation for planning-related data, supplier communications, approvals, and purchase histories.
Work alongside the procurement team to assist in global sourcing research, price benchmarking, and vendor evaluations.
Participate in cross-departmental projects, including product launches, promotional campaigns, and production trials.

QUALIFICATIONS AND SKILLS

To be considered for this role, you must demonstrate technical proficiency in materials planning, ERP-based procurement, and production coordination in an FMCG or manufacturing setting. The ideal candidate will be a results-oriented team player with strong attention to detail and exceptional multitasking capabilities.

Minimum qualifications:

Bachelor’s degree in Business Administration, Procurement & Supplies, Supply Chain Management, Logistics, or a related field.
Minimum of 3 years of professional experience in materials planning, procurement coordination, or supply chain operations.
Proven experience with ERP systems for materials planning, stock monitoring, and order processing (e.g., SAP, Oracle, SAGE).
Working knowledge of global sourcing principles, incoterms, import documentation, and customs clearance processes.
Strong analytical, negotiation, and vendor communication skills, including the ability to handle multiple tasks simultaneously.
High level of integrity, confidentiality, and commitment to ethical procurement standards.
Strong accuracy, attention to detail, and planning discipline—especially under pressure.
Excellent written and verbal communication skills and ability to interact effectively across departments and hierarchy levels.
Demonstrated ability to work both independently and as part of a team, collaborating with internal and external stakeholders.
Solid understanding of inventory control models, stock cycle planning, and best practices in materials management.
