INTRODUCTION

The Commission on Administrative Justice (Office of the Ombudsman) is a Constitutional Commission established under Article 59 (4), Chapter Fifteen of the Constitution and the Commission on Administrative Justice Act, 2011. It is mandated to address maladministration in the public sector and enforce the implementation of the Access to Information Act, 2016.

The Commission seeks to recruit a Personal Assistant to the Commission Chairperson, responsible for providing high-level administrative and operational support to the Chairperson.

ABOUT THE COMMISSION ON ADMINISTRATIVE JUSTICE

The Commission on Administrative Justice (CAJ) is responsible for promoting fair, accountable, and transparent public service delivery in Kenya. It provides oversight to ensure government institutions comply with public administration and access to information laws. As a constitutional commission, CAJ is committed to ensuring justice and fairness in public service management.

The Personal Assistant to the Commission Chairperson will play a critical role in supporting the Chairperson’s office by coordinating official engagements, preparing reports, and managing logistical support for high-level meetings and events.

KEY RESPONSIBILITIES

As a Personal Assistant to the Commission Chairperson, you will be responsible for:

Administrative & Logistical Coordination:

  • Managing the Chairperson’s diary, including scheduling itineraries and official engagements.
  • Coordinating travel and logistical support for the Chairperson’s meetings and public events.
  • Accompanying the Chairperson to high-level meetings, ensuring smooth engagements.

Technical & Operational Support:

  • Preparing speeches, technical briefs, and reports as directed by the Chairperson.
  • Compiling reports from meeting proceedings and following up on action points.
  • Ensuring proper documentation and record-keeping for the Chairperson’s engagements.

Stakeholder Engagement & Compliance:

  • Coordinating official correspondence between the Chairperson’s office and key stakeholders.
  • Ensuring adherence to official protocols and administrative procedures.
  • Providing any other duties as assigned by the Chairperson from time to time.

QUALIFICATIONS AND SKILLS

Required Qualifications:

  • Bachelor’s degree in Law, Public Administration, Business Administration, Linguistics, or related Social Sciences from a recognized institution.
  • Minimum of four (4) years’ experience in a similar role providing administrative and executive support.
  • Membership in a recognized professional body, where applicable.
  • A Certificate in Management Course (minimum four weeks) from a recognized institution.
  • A Certificate in Computer Applications from a recognized institution.
  • Demonstrated professional competence, as evidenced in work performance and achievements.

Clearance & Compliance Requirements:

Successful candidates must provide clearance certificates from the following institutions before appointment:

  • Kenya Revenue Authority (KRA)
  • Ethics & Anti-Corruption Commission (EACC)
  • Directorate of Criminal Investigations (DCI)
  • A recognized Credit Reference Bureau (CRB)
  • Higher Education Loans Board (HELB)
