KEY RESPONSIBILITIES

Workforce Planning and Staffing

  • Maintain optimal staffing levels across all employment categories (permanent, contract, and locum) in consultation with the Senior HR Business Partner.

  • Monitor employee confirmation dates and initiate follow-ups with line managers to ensure adherence to HR policies.

  • Support issuance of uniforms and name tags and ensure proper return upon employee exit.

Recruitment, Selection, and Onboarding

  • Participate in candidate interviews as authorized and maintain interview records to ensure transparency.

  • Support onboarding and orientation of new staff and locum personnel, ensuring seamless integration into the workplace.

  • Coordinate with departments to schedule job-specific orientations and structured induction programs.

Employee Relations and Engagement

  • Serve as the initial point of contact for staff regarding HR issues, escalating matters as needed.

  • Assist in implementing employee engagement strategies aimed at fostering teamwork, satisfaction, and a positive work culture.

  • Conduct exit interviews and facilitate an orderly offboarding process.

Human Resource Compliance and Records Management

  • Maintain updated contracts, licenses, and records for all staff, ensuring regulatory and organizational compliance.

  • Track and support the timely renewal of medical and professional licenses for all healthcare staff.

  • Coordinate the timely submission of audit responses to achieve internal audit compliance scores of 95 percent or higher.

HR Systems and Reporting

  • Ensure accurate data entry and maintenance within the HRMIS (including MED360).

  • Generate and consolidate timely HR reports for internal decision-making.

  • Register all new employees and their dependents in the HRMIS and ensure updates are made consistently.

Leave and Attendance Management

  • Support managers in administering employee leave and accurately tracking utilization.

  • Maintain T&A (Time & Attendance) compliance by:

    • Uploading monthly rotas by the 7th of each month

    • Ensuring rota adherence and T&A rates meet target levels

    • Coordinating submission of reports to management

Performance and Learning Development

  • Guide staff in understanding their responsibilities, job roles, and performance expectations.

  • Coordinate performance management cycles and ensure timely documentation and reviews.

  • Assist in planning and executing scheduled training sessions, both in-house and outsourced.

Policy and Labour Relations Guidance

  • Provide line managers and staff with expert guidance on employment law, HR policy, and disciplinary procedures.

  • Collaborate with the Senior HR Business Partner in managing disciplinary cases and offering guidance aligned with company policy.

Payroll Coordination and Accuracy

  • Facilitate accurate payroll processing by providing verified staff attendance and locum compensation data.

  • Coordinate with relevant units to ensure timely data submission for the payroll team.

Quality Assurance and Organizational Efficiency

  • Monitor and enforce quality assurance standards with a performance score goal of at least 75 percent.

  • Liaise with branch and unit managers to ensure that all operations are in line with HR and clinical quality frameworks.

QUALIFICATIONS AND SKILLS

Educational Background

  • A bachelor’s degree in Human Resources, Business Administration, or a closely related discipline is required.

  • A professional HR certification such as CHRP, SHRM, or CIPD is an added advantage.

Professional Experience

  • At least three years of relevant HR experience, preferably in a healthcare or multi-unit service environment.

Technical Competencies

  • Strong working knowledge of HRMIS platforms such as MED360

  • Familiarity with Kenyan labor laws, employment contracts, and employee benefits administration

  • Understanding of training, induction, and performance evaluation processes

  • Ability to consolidate and interpret HR reports and metrics for internal use

Behavioral and Interpersonal Skills

  • Excellent communication and interpersonal abilities

  • Detail-oriented with a strong sense of organizational awareness

  • Self-driven, dependable, and confidential in handling sensitive matters

  • Ability to work collaboratively across departments and build rapport with stakeholders
