KEY RESPONSIBILITIES

As the Front Office Administrator, you will report to the Registrar’s Office and support the day-to-day operations of the reception desk and front office environment. You will serve as the primary point of contact for walk-in clients, phone inquiries, and general front-desk services.

Your core responsibilities will include:

  • Reception Duties
    Greet all visitors warmly, respond to inquiries, and direct clients to the appropriate departments or staff.

  • Customer Interaction
    Offer professional and courteous service to current and prospective students, guardians, suppliers, and stakeholders who walk into or contact the institution.

  • Telephone Management
    Answer incoming calls promptly, redirect queries, take messages, and ensure calls are attended to by the appropriate team members.

  • Front Office Coordination
    Maintain a clean, professional, and welcoming reception area; display IAT materials and schedules for easy access by clients.

  • Administrative Support
    Assist with clerical tasks such as filing, photocopying, typing letters, data entry, and organizing records for smooth operations.

  • Communication and Feedback
    Relay feedback from clients to management, escalate issues where necessary, and contribute to improvements in service delivery.

  • Scheduling Support
    Help coordinate meeting schedules, appointments, room bookings, and official event logistics when required.

  • Documentation and Records
    Register student visits, monitor entry logs, and ensure accurate visitor tracking and communication logs.

  • Crisis Management
    Maintain calm and professionalism during peak periods, customer disputes, or emergencies while activating escalation protocols as necessary.

REQUIRED QUALIFICATIONS AND SKILLS

IAT is seeking a highly disciplined, personable, and competent candidate who will add value to the administrative team through effective communication and customer service.

Minimum Qualifications:

  • A Diploma or Bachelor’s Degree in Business Administration, Sales, Marketing, Customer Service, or a related field from a recognized institution

  • Demonstrated experience in front office, reception, customer care, or a similar administrative role

  • Mature, honest, and reliable

  • Customer-centered approach to service delivery

  • Ability to remain calm and composed when working under pressure
