Operating within globally established guidelines, the finance team collaborates closely with the Global Transaction Processing Centre (GTPC) and supports various Partners Across Government (PAGs), ensuring high-quality financial oversight and accurate accounting practices consistent with international standards.
Key Responsibilities
Invoicing and Payment Processing (60%)
- Assist Senior Finance Officer in delivering timely and accurate staff payroll processing, maintaining all necessary supporting documents.
- Raise and process supplier invoices in collaboration with the Global Transaction Processing Centre (GTPC) located in Manila.
- Prepare, compile, and verify supporting documents for mobile wallet payments weekly, ensuring approval from the Head of Finance.
- Oversee invoicing processes related to staff debts, manual invoices, and prepare corrective journal entries for mischarges.
- Coordinate and manage the payment lifecycle to ensure prompt settlement of invoices, debts, and other payments.
- Oversee invoice preparation for staff debts and ensure accurate manual invoicing and journal entries.
Reconciliation Tasks (10%)
- Perform routine reconciliations to ensure accuracy in financial records and report discrepancies promptly.
- Assist Partners Across Government (PAGs) in reconciling accounts to maintain accuracy in shared financial activities.
Payroll Management and Cash Controls (10%)
- Maintain cash box management, ensuring adherence to established cash-handling policies.
- Ensure payroll documents are meticulously prepared and ready for quality control checks by the Head of Finance before submission to GTPC Manila.
- Verify and maintain accurate records of monthly statutory deductions and filing.
General Accounting Duties (20%)
- Maintain an organized accounts filing system, ensuring all financial documentation is accurate and readily accessible.
- Support the Head of Finance with other ad-hoc duties, demonstrating adaptability to varying tasks within the finance department.
- Manage BHC cash box responsibly, ensuring all cash policies and security controls are strictly adhered to at all times.
- Undertake other finance-related responsibilities assigned by the Head of Finance or other designated officers, contributing positively to team objectives.
Qualifications and Skills
Essential Requirements:
- Must hold a valid qualification as a Certified Public Accountant (CPA-K) or a Chartered Certified Accountant (ACCA).
- Registration with the Institute of Certified Public Accountants of Kenya (ICPAK) or the Association of Chartered Certified Accountants (ACCA) is mandatory.
- Proven ability in financial accounting, payroll processing, invoice management, and financial reconciliations.
- Strong analytical and numerical skills with meticulous attention to detail.
- Excellent organizational and administrative skills to effectively manage documentation and financial data.
Preferred Skills and Attributes:
- Demonstrated proficiency in financial software and standard accounting software packages.
- Ability to manage multiple tasks simultaneously, delivering accurate results under tight deadlines.
