Key Responsibilities

As an Executive Assistant, you will be responsible for:

Executive Support

  • Managing the CEO’s daily schedule, appointments, and meetings.
  • Preparing and coordinating materials for meetings, presentations, and reports.
  • Acting as the first point of contact for the CEO, handling inquiries with professionalism and discretion.

Communication Management

  • Screening, prioritizing, and managing the CEO’s email and correspondence.
  • Drafting, proofreading, and formatting documents and communications on behalf of the CEO.

Event Coordination

  • Organizing and coordinating events, meetings, and travel arrangements for the CEO.
  • Handling logistics for conferences, board meetings, and team gatherings.

Administrative Oversight

  • Maintaining confidentiality and ensuring compliance with company policies in all matters.
  • Implementing and managing efficient office systems and procedures.
  • Handling expense reporting and budget tracking for the CEO.

Stakeholder Engagement

  • Liaising between the CEO and internal or external stakeholders to ensure seamless operations.
  • Coordinating communication to foster alignment across the organization.

Special Projects

  • Assisting the CEO with ad hoc projects, research, and assignments.
  • Providing strategic support to ensure the execution of high-priority initiatives.

Requirements

To excel in this role, you must meet the following qualifications and skills:

  • Experience: Minimum of 10 years as an Executive Assistant or in a similar role, preferably supporting C-level executives.
  • Education: Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • Technical Skills: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
  • Communication: Exceptional written and verbal communication skills.
  • Organizational Skills: Excellent organizational and time management abilities with keen attention to detail.
  • Adaptability: Proven ability to manage multiple priorities and adapt to shifting demands.
  • Integrity: Discretion and the ability to handle confidential information with professionalism.
  • Interpersonal Skills: Strong interpersonal skills and the ability to build relationships at all levels of the organization.
