Compliance plays a vital role in any organization, ensuring that operations meet industry and governmental regulations while minimizing risks. This role requires excellent analytical skills, keen attention to detail, and a proactive approach to risk management. The Compliance Assistant at Westgate Shopping Mall will work closely with the management team to develop compliance strategies that align with business objectives and regulatory frameworks.

The successful candidate will work alongside senior management, legal teams, and government regulatory bodies to ensure smooth operations.

KEY RESPONSIBILITIES

  • Ensure internal policies and procedures are effectively implemented, reviewed, and documented.
  • Work with management and staff to identify, assess, and mitigate regulatory risks across all business functions.
  • Develop and maintain a structured work plan for the application and renewal of statutory licenses and permits to ensure compliance with national and local laws.
  • Maintain accurate records and documentation related to policies, procedures, licenses, permits, and contracts concerning statutory obligations.
  • Assist in examining, evaluating, and investigating eligibility for compliance with regulatory frameworks governing licenses and permits.
  • Support the implementation of compliance controls and conduct employee training to ensure organizational adherence to statutory obligations.
  • Monitor regulatory developments and ensure prompt response to legal changes that impact business operations.
  • Ensure policies are updated regularly in line with national and industry-specific compliance requirements.
  • Liaise with external regulatory bodies and ensure all documentation is submitted on time to avoid penalties or operational disruptions.
  • Conduct internal audits to assess compliance adherence and suggest process improvements where necessary.
  • Develop and implement compliance-related policies and guidelines to foster a culture of integrity within the organization.
  • Provide expert guidance to employees on compliance best practices and how to integrate them into daily operations.
  • Collaborate with department heads to ensure all business activities align with legal and ethical standards.
  • Conduct periodic compliance assessments to identify areas for improvement and recommend corrective actions.
  • Assist in drafting reports, preparing presentations, and compiling data for regulatory filings and compliance evaluations.
  • Ensure data protection measures are adhered to, in compliance with Kenyan and international privacy laws.
  • Oversee the handling of customer complaints related to regulatory non-compliance and ensure they are addressed appropriately.
  • Conduct ongoing training and workshops for employees to raise awareness of regulatory obligations and compliance expectations.

QUALIFICATIONS AND SKILLS

  • Bachelor’s degree in Law, Business Administration, Finance, or a related field.
  • Proven experience in compliance, risk management, or legal administration.
  • Strong knowledge of Kenyan regulatory frameworks and statutory requirements.
  • Excellent organizational and record-keeping skills to manage large volumes of compliance documentation.
  • High attention to detail and ability to analyze regulatory requirements effectively.
  • Strong written and verbal communication skills to convey compliance expectations clearly.
  • Ability to work independently while also collaborating with cross-functional teams.
  • Strong problem-solving and critical-thinking abilities to identify compliance risks and implement effective solutions.
  • Proficiency in compliance tracking tools and software is an added advantage.
  • Understanding of corporate governance principles and their practical applications.
  • Ability to analyze compliance trends and recommend strategic adjustments to improve company adherence.
  • Experience in working with government agencies and regulatory authorities is an added advantage.
  • A proactive mindset, willing to stay ahead of industry changes and legal developments.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong negotiation skills when liaising with regulatory bodies to ensure company compliance.
