Based in Marsabit, you will play a critical role in ensuring the smooth administration and operations of the organization’s programs. This is a full-time, onsite role ideal for someone with experience in procurement, logistics, and people management.

Key Responsibilities
Procurement Responsibilities
- Manage procurement activities within the Marsabit office cluster, collaborating with the Procurement and Logistics Manager.
- Maintain a comprehensive supplier database, contracts, and contact records.
- Assist the Head Office procurement team during prequalification of service providers.
- Review procurement opportunities at the cluster level and advise on strategies to ensure value for money.
- Compile bid analysis documents for the procurement committee.
- Ensure accurate submission of procurement documents for payment processing.
- Maintain organized records of Requisition and Local Purchase Orders (LPOs).
Administration Responsibilities
- Oversee the safety, maintenance, and organization of the office premises.
- Manage office supplies and stationery, ensuring adequate inventory levels.
- Coordinate front office services and allocate workspace for staff.
- Assign vehicles to program teams for fieldwork and manage drivers’ schedules and vehicle maintenance.
- Maintain detailed logs for vehicle fuel consumption, maintenance, and servicing schedules.
- Ensure vehicles are parked securely and assets are safeguarded at the cluster office.
- Manage petty cash reconciliation and replenishment processes.
- Support budgeting procedures at the cluster office level.
- Organize travel arrangements for staff and visiting teams, including bookings.
- Review and transmit payment documents to the Head Office.
People (HR) Responsibilities
- Process leave applications and maintain an updated leave register for the cluster office.
- Facilitate onboarding for new staff, ensuring proper setup of work tools and systems.
- Maintain accurate employee records and update the employee register.
- Assist in exit interviews, offboarding processes, and employee clearance.
- Support recruitment by coordinating with candidates and scheduling interviews.
- Collaborate on staff welfare initiatives and training programs.
- Serve as the first point of contact for employee grievances at the cluster office.
- Conduct performance reviews for direct reports and recommend training opportunities.
Qualifications and Skills
- Education: Bachelor’s degree in International Development, Business Administration, Management, or a related field.
- Experience: Minimum of 3 years in administration within a busy organization, preferably in Northern Kenya.
- Skills:
- Strong interpersonal and communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with remote conferencing tools.
- Competencies:
- Exceptional planning and organizational skills.
- Ability to manage logistics and multi-task effectively.
- Familiarity with procurement and human resource processes.
