Key Responsibilities of the Accounts Payable Executive Role

As the Accounts Payable Executive, you will play a crucial role in the finance team, ensuring smooth financial operations and compliance with accounting policies. Your key duties include:

Accounts Payable Management:

  • Assist in the month-end closure process by preparing journals for accounting software.
  • Reconcile ledgers such as advances, vacations, indemnity, ticket service charges, accrued salaries, tips, AIP Ex-com, and sales incentives periodically.

Cash Management:

  • Count and verify daily cash deposits from individual cashiers and deposit them promptly.
  • Resolve discrepancies with service providers or banks and possess excellent cash handling skills.
  • Reconcile all cash receipts with the PMS system and prepare daily GC reports for management approval.
  • Provide change to personnel with hotel cash float and issue due backs to cashiers as needed.
  • Maintain adequate change in the GC float and ensure daily cash closures.

Audit and Compliance:

  • Conduct regular third-party audits of GC float and prepare over/short reports for cashiers.
  • Disburse petty cash expenses in line with hotel policies and procedures.
  • Participate in hotel float audits, reporting discrepancies to the Director of Finance (DOF) and Chief Accountant.
  • Ensure adherence to hotel guidelines for cash handling, disbursement, and cheque encashment.
  • Ensure timely posting of currency exchange gains/losses and deposits of foreign currency proceeds.

Support and Training:

  • Assist in cashier training and provide support in resolving cash handling issues.
  • Perform additional duties as assigned by the DOF or Finance Manager.
  • Be willing to work flexible hours to meet operational needs.

Qualifications and Skills Required

Educational Qualifications:

  • A graduate degree in Accounting or equivalent.

Professional Experience:

  • Previous experience in accounts payable or a finance role within the hospitality industry is an asset.

Technical Competencies:

  • Familiarity with hotel Property Management Systems (PMS) and accounting software is an advantage.
  • Strong numerical and analytical skills.
  • Proficiency in using Microsoft Excel and accounting software.

Interpersonal Skills:

  • Excellent communication and interpersonal skills.
  • Strong attention to detail and accuracy.
  • Ability to handle guest inquiries and payment disputes professionally.
  • Ability to maintain composure and professionalism under pressure.
