As a Legal Administrator, you will oversee client file management (primarily litigation), office organization, and administrative support to the legal team. Key Responsibilities

As a Legal Administrator, you will be responsible for the following duties:

  • Client File Management: Maintain and update client files with accuracy, ensuring proper filing of litigation and other legal documents.
  • Proposal Preparation: Draft proposals, respond to RFQs, and prepare Terms of Engagement in coordination with the legal team.
  • Diary Management: Maintain an accurate bring-ups diary and ensure consistent follow-ups to meet deadlines.
  • Document Handling: Draft letters, contracts, and other legal documents, dispatching them via email or courier services.
  • Financial Oversight: Manage petty cash, ensuring timely payment of office expenses, and oversee business accounts, such as the Little Cab Account.
  • Office Management: Coordinate reception activities, including handling incoming documents, letters, and office calendars/diaries.
  • Procurement: Make requisitions and ensure the purchase of necessary office supplies to maintain efficient operations.
  • Team Supervision: Oversee the office cleaner and courier to ensure a well-organized workspace.
  • Communication Oversight: Manage the office’s general email address and telephone line, ensuring prompt responses to inquiries.
  • Compliance Tracking: Monitor medical and PI insurance, advocate practicing certificates, CPDs, and rental/service charge due dates.
  • Maintenance Coordination: Ensure timely repairs and maintenance for office facilities.
  • Additional Duties: Perform other legal administrative tasks as assigned by the management team.

Qualifications and Skills

Required Qualifications:

  • Education: Bachelor’s Degree in Business Administration, Management, or a related field.
  • Experience: Minimum of 2 years of proven work experience as a Legal Administrative Assistant or in a similar role within a busy law firm with three or more advocates.

Essential Skills:

  • Proficiency in file management, office administration, and client relationship management.
  • Exceptional organizational and time-management skills with the ability to prioritize multiple tasks effectively.
  • Strong communication skills, both verbal and written, with a customer-centric attitude.
  • Ability to collaborate with stakeholders, vendors, and legal teams effectively.
  • High-level attention to detail and proactive problem-solving abilities.

Preferred Skills:

  • Knowledge of legal processes, terms, and documentation requirements.
  • Familiarity with office software and tools for efficient documentation and communication.
