Key Responsibilities

As a Purchasing Assistant, you will be responsible for:

1. Procurement Management
   • Supporting the procurement department in the acquisition of goods and services.
   • Maintaining and updating accurate purchasing records and reports.
   • Coordinating with suppliers to ensure timely delivery of materials and supplies.
2. Vendor Relations
   • Assisting in vendor management, including evaluating supplier performance.
   • Developing and maintaining strong supplier relationships.
3. Inventory Oversight
   • Tracking inventory levels to avoid stockouts or overstocking.
   • Ensuring compliance with budgetary constraints in procurement activities.
4. Administrative Support
   • Preparing and processing purchase orders.
   • Resolving discrepancies in invoices and purchase orders.
   • Supporting the Purchasing Manager in audits and documentation tasks.
5. Analytical Functions
   • Conducting market research to identify cost-saving opportunities.
   • Collaborating with internal teams to forecast procurement needs.
   • Utilizing purchasing software or ERP systems for tracking and analysis.

Qualifications and Skills

To succeed in this role, the following qualifications and skills are required:

Essential Qualifications

• Bachelor’s Degree or Diploma in Purchasing and Supply Chain or a related field.
• Membership in the Kenya Institute of Supplies Management (KISM).
• A minimum of 3 years’ experience in a procurement or purchasing role.

Core Skills

• In-depth knowledge of procurement processes, vendor management, and inventory control.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar tools.
• Exceptional communication and negotiation skills.
• Analytical and problem-solving abilities to make data-driven decisions.
• Strong attention to detail and the ability to prioritize tasks effectively.

Preferred Skills

• Familiarity with purchasing software or ERP systems.
• Experience in fast-paced and team-oriented work environments.
