Optiven Group is hiring three (3) Title Management Officers to join our Title Management Centre at ABSA Towers (HQ). This role offers a unique opportunity to contribute to an efficient title processing system while delivering excellent customer service. This job requires individuals who can handle multiple priorities efficiently, ensuring that all title-related documentation is processed accurately and promptly. As a Title Management Officer, you will be the key liaison between customers and internal teams, making sure that all title-related queries are resolved professionally. You will also be responsible for updating databases and ensuring that records remain accurate and compliant with industry regulations.

KEY RESPONSIBILITIES

  • Facilitate the accurate and timely processing of customer titles.
  • Address and resolve customer queries and complaints professionally, ensuring proper documentation.
  • Communicate and coordinate with customers to verify information, provide updates, and meet deadlines.
  • Manage multiple demands effectively and prioritize tasks efficiently.
  • Update the client database to meet regulatory obligations and maintain accuracy.
  • Foster strong internal working relationships and contribute to a collaborative team environment.
  • Identify procedural challenges and recommend effective solutions for improvement.
  • Ensure compliance with real estate industry regulations and company policies.
  • Assist in the preparation of title transfer documents and ensure accuracy before submission.
  • Monitor pending cases and liaise with the legal team to resolve disputes efficiently.
  • Keep records of title applications, approvals, and related documents to ensure accountability.
  • Participate in training sessions to stay updated with new real estate regulations and policies.
  • Perform any other duties as assigned by the Operations Manager.

QUALIFICATIONS AND SKILLS

  • A Bachelor’s degree in Business Administration, Economics, Information Science, or a related field.
  • Minimum of 3 years of experience in Customer Service, Administration, Business Management, or related fields.
  • Strong customer service and interpersonal skills to interact with diverse stakeholders.
  • Excellent verbal and written communication skills for effective documentation and correspondence.
  • Ability to work independently while delivering high-quality results.
  • Proficiency in computer applications, including database management.
  • A team player with strong organizational and problem-solving skills.
  • High level of integrity and confidentiality in handling sensitive information.
  • Strong attention to detail to ensure that all documents are processed accurately.
  • Ability to handle high-pressure situations with a focus on problem-solving.
  • Working knowledge of real estate laws and property title regulations in Kenya.
  • Ability to multitask and manage multiple title applications simultaneously.
  • Demonstrated ability to analyze title-related discrepancies and recommend solutions.
  • Experience working with legal and compliance teams to facilitate smooth document processing.
