KEY RESPONSIBILITIES

  • Disseminate crucial information to cabin crew, promoting clear and efficient communication between management and staff.
  • Prepare weekly and periodic reports on crew performance, analyzing key indicators such as layovers, sick leaves, ground duty, and leave days to optimize workforce utilization.
  • Compile and process voyage reports, ensuring accurate and timely documentation.
  • Verify and submit cabin crew productivity claims, including layover and extra hours allowances, ensuring adherence to payroll timelines.
  • Maintain a well-organized and fully functional office environment, providing seamless administrative support to the department.
  • Plan, coordinate, and document meetings (both internal and external) by preparing agendas, recording minutes, and following up on action points.
  • Facilitate the performance appraisal process for cabin crew by liaising with Inflight Performance Managers (IPMs).
  • Raise requisitions for inflight supplies, ensuring necessary resources are available for crew operations.
  • Update and maintain accurate cabin crew records and notices.
  • Ensure compliance with company policies, industry regulations, and best practices in administrative and crew management functions.
  • Assist in data collection and analysis to improve cabin crew productivity and efficiency.
  • Handle cabin crew scheduling conflicts, ensuring smooth duty roster adjustments.
  • Support employee engagement initiatives aimed at enhancing cabin crew morale and retention.
  • Work closely with HR to facilitate the onboarding and training of new cabin crew members.
  • Ensure that all internal communication materials are accurately updated and distributed in a timely manner.

QUALIFICATIONS AND SKILLS

Minimum Requirements:

  • KCSE Grade C plain or higher.
  • A university degree in a business-related field.
  • At least three (3) years of relevant administrative experience in a large organization or the service industry.
  • Strong PC literacy, with proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to analyze large datasets and generate actionable insights.
  • High attention to detail and ability to handle confidential information professionally.
